Event Format

Summit 08 is a one day conference taking place on Thursday 03 July at the Radisson SAS Royal Hotel, Brussels.

It is preceded by a networking dinner on the evening of Wednesday 02 July at the Aux Armes de Bruxelles restaurant – just a few minutes walk from the hotel.

Registration fees are all-inclusive to include participation in both the Summit and the dinner. There is no refund if you do not attend the dinner. ESA members receive a discount on the non member rate.

Please be aware that there are two Radisson hotels in Brussels. Please make sure you travel to the correct one!

ESA has secured a limited number of hotel rooms at the Radisson at a special all-inclusive price of €199 per room (single). To get this rate you must book by 19 May. If you require hotel accommodation, you must book your room direct with the hotel – please see ‘Accommodation’ on the menu above for details of the booking procedure and a direct link to the hotel reservation system.

ESA Annual General Meeting

The ESA AGM will be held from 17:00 on Wednesday 02 July at the same evenue as Summit 08 - Radisson SAS Royal Hotel. The AGM is for ESA members only. There is no charge to participate.

Taxis from the airport to the Radisson SAS Royal hotel charge approx. EUR 45.

Airport link trains from the airport station (basement level -1) take approx. 30 minutes to Brussels Central station. The fare is EUR 2.80.

By train

From Brussels Central Station
The Radisson SAS Royal hotel is within walking distance, turn right onto Boulevard de L’Imperatrice  turn left at Rue D’Assaut, right on Montagne des Herbes, left onto Rue Du Fossé Aux Loups. Hotel is on the corner (estimated time 10 mins).

From Brussels Midi / Zuid / Eurostar
Take metro or tram north to De Brouckère station. On exiting station turn right onto Boulevard Anspach, turn right at Rue Du Fossé Aux Loups, hotel is on the left (estimated time 15 mins). Alternatively, taxis from Midi station will charge approx. EUR 15.

Registration
Registration will be open between 13:00 - 18:00 on Wednesday 2 July 2008. A registration desk where you can collect your badge and conference materials will be located in the main reception area of the hotel. Participants attending the networking dinner on the evening of 2 July MUST collect their badge by 18:00.

On Thursday 3 July registration will open at 08:30am

Documentation

The conference proceedings will be posted on this website post-event. Only registered delegates will be able to access the presentations.

Languages

All presentations and discussions will be held in English.

Belgian Entry Visas

Participants requiring a visa in order to enter Belgium are reminded that they must obtain the visa before travelling. Should you require an invitation letter to support your visa application then please contact us, and we will do our best to assist you with this. Please note however that we will only be able to supply invitation letters to delegates who have registered and paid for their participation at the event.

Terms & Cancellation Conditions

Confirmation letters and receipted invoices will be sent by ESA on receipt of payment – which must be made at the time of booking. No refunds will be made for no-shows or if you cancel for any reason. If you are unable to attend, a substitute delegate may be made at any time. It may be necessary for reasons beyond the control of the organisers to alter the content, timings or venue.

In the case of an incident that prevents the running of the event - including but not limited to - fire, flood, riot, earthquake, civil commotion, decisions taken by the national and/or local authorities, weather conditions, strike, lock-out, labour disturbances, explosions, sabotage, accident, threat or act of terrorism, war, acts of God or any other causes beyond the control of the organiser, the organiser reserves the right to retain up to 50% of the registration fee as a contribution to registration, location, marketing & central administration costs.

In the event of cancellation, the organiser is not liable for any other consequential loss or expenses incurred by participants.
